Our client, a global dermatology and life sciences organization, is seeking a Temporary-to-Hire Senior Administrative Assistant to join their team in Boston, MA. This hybrid opportunity requires 4 days onsite and 1 remote day per week (Fridays) and offers $50-$60/hour. The schedule is 8:30 AM-5:30 PM, and the position provides high-level support to senior leadership while partnering closely with executive teams on administrative operations, communications, meetings, and special projects. This role is ideal for a polished, professional Executive Assistant with experience supporting C-suite leaders within large pharmaceutical, biotechnology, consulting, or consumer-focused organizations.
Key Responsibilities
- Provide senior-level administrative support to multiple executives, including complex calendar management, travel coordination, and expense reporting.
- Manage executive communications, correspondence, and scheduling across internal and external stakeholders.
- Prepare, edit, and format presentations, reports, and executive-level materials, with a strong emphasis on PowerPoint.
- Coordinate leadership meetings, including agendas, materials, logistics, and follow-up activities.
- Assist with recruiting activities by scheduling interviews and coordinating candidate visits.
- Maintain organizational charts, corporate records, and other key business documentation.
- Partner with other administrative professionals to support onsite and offsite leadership meetings, events, and company initiatives.
- Reconcile corporate expenses and provide administrative support for special projects as needed.
Candidate Qualifications
- 5+ years of Executive Assistant or Senior Administrative Assistant experience supporting C-suite or senior executives.
- Experience within pharmaceutical, biotechnology, life sciences, consulting, or consumer-focused organizations strongly preferred.
- Advanced proficiency in Microsoft Office, particularly PowerPoint, Outlook, Word, and Excel.
- Demonstrated ability to manage confidential information with discretion and professionalism.
- Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills with the ability to interact effectively at all levels of an organization.
- Strategic, solutions-oriented mindset with the ability to anticipate needs and proactively resolve issues.
- Professional presence, strong business judgment, and the flexibility to thrive in a fast-paced, collaborative environment.
- Bachelor’s degree preferred.
