Our client, a well-established mechanical construction company, is seeking a Sales Group Administrative Assistant for a temp-to-hire opportunity. This highly visible, client-facing position will support a busy sales team with daily administrative operations, proposal coordination, and front office responsibilities. The ideal candidate is polished, organized, and comfortable working independently in a fast-paced office environment.
This position is fully onsite Monday through Friday. Hours are 7:00 a.m. to 3:30 p.m. with an early 3:00 p.m. finish on Fridays. Compensation ranges from $28.00-$30.75/hour while temporary, with conversion salary ranging from $55K-$60K annually.
About You:
- Support a dynamic sales team with day-to-day administrative and operational tasks
- Coordinate documentation related to proposals, bids, project tracking, and service agreements
- Manage and distribute project numbers, purchase order information, and other job-related documentation
- Serve as a professional first point of contact for clients, vendors, subcontractors, and visitors
- Assist with maintaining client records and processing required vendor and compliance documentation such as W9s, certificates of insurance, licensing paperwork, and billing updates
- Help prepare sales and bid-related materials while ensuring deadlines and submission requirements are met
- Provide ongoing communication and follow-up support to both internal teams and external partners
- Maintain organization across multiple projects and priorities in a fast-paced office setting
- Work independently at the front desk while supporting a team that is frequently out in the field or meeting with clients
About the Job:
- Previous administrative experience supporting sales, operations, proposals, bids, or project coordination required
- Experience within mechanical construction, HVAC, service, engineering, or related industries strongly preferred
- Strong organizational skills with excellent attention to detail and follow-through
- Professional communication skills and confidence interacting with executives, clients, and vendors
- Comfortable managing front desk responsibilities and handling tasks independently
- Ability to multitask, prioritize deadlines, and adapt in a busy office environment
- Proficiency in Microsoft Office Suite including Outlook, Word, and Excel
- Experience handling proposal documentation, prequalification paperwork, or compliance-related forms is highly preferred
