Job Title: Financial Services Associate (Contract)
Pay Rate: $25/hour
Job Summary:
We are hiring a Financial Services Associate for a contract position supporting one of our clients. The purpose of this role is to support Trust Officers in the daily administration of fiduciary accounts. This role plays a key part in maintaining high levels of client satisfaction and efficient trust account management, while also contributing to the team’s sales and business development efforts.
Key Responsibilities
Administrative Support

Execute routine trust account activities, including account openings/closings, asset maintenance, payment processing, and transaction updates.

Collaborate with internal departments such as Trust Operations, Trust Tax, and Real Estate to ensure accurate and timely completion of administrative tasks.

Monitor account balances daily for overdrafts and idle cash, and promptly communicate findings to the appropriate Trust Officer.

Use historical account data and client trends to forecast cash needs in coordination with Investment Officers.

Provide responsive and professional telephone-based support by handling inbound client inquiries and requests.

Investigate and assist in resolving account discrepancies, proposing practical solutions where applicable.

Maintain confidential and well-organized account documentation in accordance with compliance standards.

Analyze trust agreements and related documents to ensure accuracy and consistency with administrative requirements.

Administer and update fee schedules under the guidance of the Trust Officer.

Prepare internal and client-facing materials, including reports, correspondence, technical documents, and special project deliverables.

Assist in the development and organization of client presentations and meeting materials.

Foster teamwork and communication with colleagues to ensure consistent and high-quality trust administration.

Stay current on relevant changes in trust, estate, and tax law to enhance account oversight and support.

Ensure strict adherence to internal controls, corporate policies, and regulatory requirements.

Provide coverage for other Trust Assistants during absences or peak business periods.
Client and Sales Support

Cultivate and maintain strong, professional relationships with clients; act as a liaison for routine service needs and inquiries.

Recognize and communicate client needs and potential opportunities for expanded service or revenue growth.

Track and follow up on client requests and service issues, ensuring timely and effective resolution.

Coordinate logistics for client meetings-both virtual and in-person-including scheduling, document preparation, and activity tracking in CE Desktop.

Support Trust Officers with the organization, documentation, and follow-through of sales opportunities and pipeline activity using CE Desktop.
Required Qualifications

High school diploma or equivalent required.

One to three years of relevant experience in a professional, administrative, or financial services role; a combination of education and experience will be considered.

Proven ability to deliver exceptional customer service with strong communication, organizational, and problem-solving skills.

Strong attention to detail and accuracy in a fast-paced, deadline-driven environment.

Ability to collaborate effectively as part of a team.

Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Previous experience in a trust, wealth management, or financial services environment is preferred but not required.
