We are seeking a dedicated Executive Legal Secretary to provide vital administrative support to our Litigation Section. This role requires strong collaboration and a commitment to confidentiality, ensuring that we maintain the highest level of professionalism for our clients and colleagues.
Essential Duties and Responsibilities:
- Prepare draft documents such as briefs and motions, working closely with attorneys to utilize firm templates.
- Coordinate and format multi-document filings for State and Federal courts, adhering to all requirements.
- Update and maintain case information in Court Alert, including deadlines and reminders.
- Organize and prepare notebooks, binders, and exhibits for attorneys.
- Open new client files and conduct conflict checks in coordination with the New Business Intake team.
- Maintain an efficient document management system and proofread documents for accuracy.
- Manage calendars, assist with meeting deadlines, and coordinate conferences, ensuring all logistics are handled smoothly.
- Oversee the billing process under attorney supervision and provide excellent customer service to clients.
- Handle travel arrangements and assist with new attorney admissions as needed.
- Perform research and prepare materials for publications or speaking engagements.
- Ensure adequate backup support for secretaries during scheduled time off and adhere to Firm policies.
Knowledge, Skills, and Abilities Required:
- Bachelor’s degree preferred; 3-5 years of litigation experience required.
- Proficient in Microsoft Office Suite, document management systems (NetDocs), and billing software (Carpe Diem).
- Familiar with ECF and Texas state filing systems and have a solid understanding of legal procedures.
- Strong attention to detail, organizational skills, and ability to multitask in a fast-paced environment.
- Excellent interpersonal and communication skills, with a commitment to customer service.
- Flexibility to work overtime when necessary.
