JOB SUMMARY
The Senior Staff Accountant is a dependable, highly organized accounting professional responsible for managing the full accounts payable cycle, expense oversight, and supporting financial administrative functions for senior leadership. This role demands precision, strong follow-through, and the ability to handle sensitive financial information with the utmost professionalism and discretion.
ESSENTIAL JOB FUNCTIONS
Accounts Payable & Expense Management
- Manage the end-to-end invoice processing cycle, ensuring timely and accurate payments
- Verify billing documentation, resolve discrepancies, and ensure proper coding
- Administer payroll processing and benefits coordination for a small employee group, including applicable tax filings, utilizing third-party payroll platforms
- Classify and enter transactions into the general ledger and accounting systems
- Execute outgoing payments across multiple methods (ACH, wire, check, electronic bill pay)
- Monitor scheduled and recurring obligations to ensure no lapses in payment
Reconciliation & Financial Reporting
- Perform monthly bank and credit card reconciliations tied to disbursement activity
- Maintain well-organized documentation of all invoices, approvals, and payment records
- Compile monthly expense summaries and variance reports
- Serve as a point of contact for routine billing and payment inquiries
Administrative & Operational Support
- Manage vendor onboarding, maintenance, and W-9 / 1099 tracking
- Oversee reimbursement workflows and expense report processing
- Provide general administrative support related to financial operations
- Liaise with external accounting firms and financial advisors to supply requested documentation
Internal Controls & Compliance
- Adhere to established approval workflows and internal control procedures
- Uphold strict confidentiality regarding all financial and personal information
- Identify and escalate anomalies, missing documentation, or irregular charges
- Maintain organized digital and physical filing systems
MINIMUM QUALIFICATIONS
- Bachelor’s degree in Accounting, Finance, or a related discipline
- 3-7+ years of progressive experience in accounts payable, bookkeeping, and payroll administration
- Prior experience in a confidential or high-trust setting (private office, executive-level support, or professional services) strongly preferred
- Solid foundational knowledge of GAAP principles and expense classification
- Proficiency with accounting platforms and electronic payment systems (e.g., QuickBooks, Bill.com, or comparable tools)
- Demonstrated experience managing payroll and benefits for small employee populations
- Exceptional attention to detail, organizational skills, and ability to self-manage priorities
