Job: Accounting and Administrative Support Specialist
Location: Oklahoma City, OK
Employment Type: Temporary/Contract (with potential for extension or conversion)
Pay Range: $19-$24/hour, depending on experience
Position Overview
We are working with a client that is seeking a detail-oriented Accounting/Administrative Support Specialist to provide critical support across all operations.
This role combines administrative, accounting, and invoice management responsibilities, requiring exceptional typing speed,10-key proficiency, and advanced Microsoft Excel knowledge to efficiently process orders, invoices, and commission tracking. The ideal candidate thrives in a fast-paced environment, maintains accuracy under pressure, and supports both internal teams and clients with professionalism.
This is a full-time, on-site role with a standard Monday-Friday, 8:00 a.m.-5:00 p.m. schedule.
Key Responsibilities
- Learn and understand all areas of our business to provide exceptional support.
- Answer all incoming phone calls and emails promptly and professionally.
- Track and manage orders to ensure timely shipment; follow up with clients and internal teams as needed.
- Match orders to invoices and process billing accurately.
- Track commission payments to ensure timely and accurate disbursement.
- Inspect documents and artwork for accuracy and obtain client approvals.
- Maintain accurate records and files daily.
- Generate reports and analyze data using Excel formulas and Sage 100 accounting software.
- Assist in resolving client inquiries with professionalism and accuracy.
- Support sales efforts by processing orders and converting leads into confirmed sales.
- Represent the company at trade shows (minimum three times per year), including setup, tear down, and client engagement.
- Assist other departments as needed to ensure smooth operations.
Requirements/Qualifications:
- Minimum of 2 years of experience in accounting administration, office, and sales support.
- Strong and accurate typing skills, and proficient in numeric data entry and 10-key calculations.
- Knowledge or working experience with Sage accounting software. Proficiency with Windows-based applications, including Microsoft Word, and Outlook. Must be strong in Excel.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or a related field is a plus, but not required.
