Job: Order Support Specialist
Location: on-site in Edmond, OK
Employment Type: Contract to Hire (with potential for extension or conversion)
Pay Range: $18-$20/hour, depending on experience and skill
Position Overview
We are partnering with a client seeking a detail-oriented Order Support Specialist to provide critical support across multiple areas of the business, including order processing, accounting support, billing and invoicing, inventory coordination, customer service, and sales support.
This role combines administrative, accounting, and operational responsibilities, requiring strong attention to detail, exceptional typing and 10-key skills, and advanced Microsoft Excel proficiency.
This is a full-time, on-site position with a standard Monday through Friday schedule of 8:00 a.m. to 5:00 p.m.
The role also involves occasional travel for networking events and trade shows, typically 3 to 5 times per year, where the individual will represent the company and assist with client engagement activities.
Key Responsibilities
- Learn and understand all areas of our business to provide exceptional support.
- Answer all incoming phone calls and emails promptly and professionally.
- Track and manage orders to ensure timely shipment; follow up with clients and internal teams as needed.
- Match orders to invoices and process billing accurately.
- Track commission payments to ensure timely and accurate disbursement.
- Inspect documents and artwork for accuracy and obtain client approvals.
- Maintain accurate records and files daily.
- Generate reports and analyze data using Excel formulas and Sage 100 accounting software.
- Assist in resolving client inquiries with professionalism and accuracy.
- Supporting sales efforts by processing orders and converting leads into confirmed sales.
- Represent the company at trade shows (minimum three times per year), including setup, teardown, and client engagement.
- Assist other departments as needed to ensure smooth operations.
Requirements/Qualifications:
- 1+ years of experience in accounting administration, office, and sales support.
- Proficiency with Windows-based applications, including Microsoft Word and Outlook. Must be strong in Excel.
- Strong and accurate typing skills, and proficient in numeric data entry and 10-key calculations.
- Strong interpersonal and networking skills are required, with the ability to confidently represent the company at networking functions. The role also requires travel approximately three times per year for networking purposes.
- Will occasionally assist with light inventory-related tasks as needed; no heavy lifting required. Comfortable supporting periodic inventory organization and tracking responsibilities on an as-needed basis.
- Knowledge or working experience with Sage accounting software a plus, but not required.
- High school diploma or equivalent required; associate or bachelor’s degree in accounting, finance, or a related field is a plus, but not required.
