Our client, a prestigious global real estate services company, located in Boston is seeking a full-time Administrative Assistant – Event Support for an immediate opening. This is a 100% onsite position with working hours from 8 AM to 5 PM, though flexibility is required for earlier start times (as early as 6 AM) or later end times (up to 8 PM) during events. The role begins ASAP and is expected to last for 2+ months, offering $33/hour.
Key Responsibilities:
- Organize weekly event signs and floor plans
- Submit and track work orders related to events
- Update and distribute weekly catering memo
- Upload BEOs, contracts, and COIs into Tripleseat
- Assist with event and conference room set-ups
- Respond to incoming lead inquiry emails
- Send weekly memo to building staff with event details
- Organize and inventory event supplies
- Prepare hot bar menu displays and event signage
Candidate Qualifications:
- Strong administrative and organizational skills
- Hospitable and customer-focused attitude
- Quick learner with adaptability to new systems
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite
- Able to multitask and prioritize in a fast-paced environment
- Previous administrative or event experience preferred
- Familiarity with Tripleseat or similar platforms is a plus
