Legal Executive Assistant
A prestigious international law firm is seeking a Legal Executive Assistant to join its Chicago office. This is a full-time opportunity supporting 2-3 senior attorneys within the litigation practice. The role is highly visible and offers the opportunity to work closely with experienced attorneys in a collaborative, professional, and team-oriented environment.
This position operates on a 35-hour work week, Monday through Friday, with hours of 8:30/9:00 AM to 5:00 PM. The role follows a hybrid schedule of four days in the office and one day remote. Compensation ranges from $75K-$100K, depending on experience.
The ideal candidate will have 5-10 years of legal administrative experience supporting litigation attorneys and possess strong organizational, communication, and project management skills. The firm is seeking someone with an executive presence who is polished, flexible, detail-oriented, and comfortable supporting busy attorneys in a fast-paced environment. Law firm experience is required.
Skills required and Job Duties include the following:
Job Duties:
- Support attorneys through all phases of litigation, including motion practice, discovery, trial preparation, and post-trial matters
- Prepare, edit, format, and proofread pleadings, motions, subpoenas, discovery requests and responses, correspondence, and other legal documents
- Handle electronic filing in both state and federal courts
- Prepare witness binders, trial binders, exhibits, and deposition materials
- Organize and maintain case files and litigation documents
- Monitor docket deadlines and coordinate service of filings
- Manage attorney calendars, schedule meetings, coordinate travel arrangements, and maintain attorney availability
- Enter attorney time and assist with expense reports
- Coordinate with clients, court personnel, opposing counsel, and internal departments
- Assist with billing-related matters and day-to-day administrative support
Qualifications:
- 5-10 years of legal administrative experience in a law firm environment
- Litigation support experience required
- Strong state and federal e-filing experience
- Experience supporting multiple attorneys in a fast-paced practice
- Advanced Microsoft Word skills, including document formatting and editing
- Strong organizational, time-management, and communication skills
- Ability to prioritize competing deadlines and work independently
- Experience with attorney calendar management, travel coordination, expense reports, and time entry
- Professional demeanor with strong judgment and attention to detail
- Stable work history preferred
