Beacon Hill Legal is hiring a Transactional Legal Administrative Assistant for a prestigious law firm client in St. Louis. This hybrid opportunity offers a 37.5-hour work week and the chance to support a highly respected Business and Corporate practice group.
This role is ideal for an experienced legal administrative professional who enjoys working in a collaborative, fast-paced environment and has a strong interest in transactional matters. The successful candidate will serve as a key member of the legal support team, helping attorneys manage client matters, coordinate complex schedules, prepare transactional documents, and ensure the smooth day-to-day operation of the practice.
The position follows a hybrid schedule, requiring approximately four days per week in the St. Louis office, with flexibility to work additional hours when business needs arise.
Responsibilities
- Prepare, edit, proofread, and format a variety of legal and business documents, including agreements, correspondence, spreadsheets, and presentations.
- Organize, maintain, and track documents within document management systems, client portals, and databases.
- Monitor matter status and critical deadlines, proactively providing updates and support to attorneys.
- Manage attorney calendars, schedule meetings and conference calls, coordinate conference room reservations, distribute invitations, and send reminders.
- Review and edit pre-bills, assist with billing-related requests, and research outstanding invoices and payments.
- Communicate professionally with clients, opposing counsel, vendors, and internal stakeholders.
- Maintain both electronic and physical client files.
- Assist with attorney time entry and billing administration.
- Process expense reimbursements and vendor invoices.
- Coordinate domestic and international travel arrangements.
- Open and close client matters, conduct conflict checks, prepare new matter documentation, and assist with engagement letters.
- Maintain contact databases, prepare mailing lists, and coordinate client communications.
- Assist with client proposals, marketing materials, and PowerPoint presentations.
- Provide overflow assistance and backup support to attorneys and administrative team members.
- Support onboarding and training efforts for new staff members as needed.
Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Minimum of five years of legal administrative experience, ideally within a law firm or professional services environment.
- Prior experience supporting transactional, corporate, business, or commercial practice areas strongly preferred.
- Demonstrated ability to anticipate needs, prioritize competing deadlines, and proactively resolve issues.
- Strong proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Ability to quickly learn and adapt to new software and technology platforms.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- Proven ability to work both independently and collaboratively in a deadline-driven environment.
