Beacon Hill Legal is hiring a Legal Assistant (Private Wealth) to support attorneys within a sophisticated private wealth practice. This position is based in Phoenix, AZ and follows a hybrid schedule (4 days onsite, 1 day remote). Position Overview

The Legal Assistant (Private Wealth) provides high-level administrative and practice support to attorneys in a private wealth practice group. This role serves as a primary point of contact for assigned attorneys and works closely within a team-based support model, sharing workflow and assisting with overflow as needed. Success in this role requires strong organizational skills, attention to detail, technical proficiency, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Coordinate and manage workflow for assigned attorneys, including delegating tasks to appropriate teams and ensuring follow-up and quality control
  • Prepare, revise, transcribe, and proofread legal documents with accuracy while meeting deadlines
  • Assist with calendar management, meeting coordination, and travel arrangements, including preparing itineraries
  • Support accounting and billing-related administrative functions, including client billing coordination, fee arrangement tracking, and matter budget monitoring
  • Process new client and matter intake, including conflict checks and file openings
  • Review, route, and prepare incoming and outgoing mail, faxes, and related materials, ensuring all attachments and enclosures are complete
  • Maintain attorney contacts and track CLE requirements and professional memberships
  • Collaborate effectively within a team environment, participating in regular team meetings and sharing best practices and training insights
  • Utilize team-based software to track and manage workflow
  • Provide private wealth-specific support, including e-filing, calendaring, document edits, and pleadings
  • Operate standard office equipment and maintain confidentiality in all matters
  • Remain composed under pressure and respond professionally to high-volume workload demands
  • Perform additional duties as assigned

Minimum Qualifications

  • High school diploma or GED
  • 3+ years of legal administrative or legal assistant experience
  • Strong customer service and client communication skills
  • Excellent organizational and time management abilities
  • Ability to work independently and collaboratively in a team environment
  • Minimum typing speed of 60 wpm
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Proficiency in Adobe Acrobat

Preferred Qualifications

  • Associate degree or higher
  • 3+ years of experience supporting a private wealth or trusts and estates practice
  • Previous transcription experience
  • 1+ years of experience supporting high-level executives or senior professionals
  • Experience managing complex and high-volume executive calendars
  • Strong process and information management skills
