General Purpose
Provide comprehensive administrative support to legal professionals, including Partners, Associates, and Paralegals, ensuring efficiency in daily operations and case management.
Key Responsibilities

Prepare, process, and manage legal correspondence and documents such as subpoenas, contracts, summonses, appeals, warrants, and motions.

Organize and coordinate legal meetings, including client interviews, hearings, and depositions.

Maintain schedules and calendars, including court diaries.
-
Take, transcribe, and distribute meeting and interview minutes.

Prepare forms such as accident reports, courtroom requests, and client applications.

Draft and manage client engagement letters.
-
Proofread and edit legal documents for accuracy and clarity.
-
Establish and maintain databases and filing systems (electronic and physical).
-
Document and track client matters and case details.
-
Handle incoming mail and calls for assigned legal professionals.

Review, edit, transfer, and post time entries for legal professionals.
-
Assist with travel arrangements and expense reimbursement processing.
-
Manage professional memberships and affiliations (e.g., NACUA, COSA, ELA).

Facilitate legal and government electronic filings.
-
Communicate effectively via verbal and written correspondence to answer inquiries and provide case updates.

Coordinate the delivery of legal documents to clients, witnesses, and court officials.

Conduct legal research and compile case-relevant information.

Arrange hearing dates, schedule court reporters, and handle court and tribunal communications.

File motions and follow up on pending court cases.

Coordinate courier and external service requests.

Assist with billing and financial transactions.

Implement and maintain office systems for improved efficiency.

Collaborate with other legal administrative professionals for coverage, phones, and special projects.

Provide support for seminar presentations, event setup, and registration.

Perform other administrative duties as assigned.
Education and Experience Requirements

Relevant training or qualification in legal administration.
-
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Publisher) and shared/cloud-based file management.

Preferred experience with iManage Document Management software, Logikcull eDiscovery software, and PowerPDF.

Strong knowledge of legal procedures and terminology.

Familiarity with local, state, and federal filing rules.

Excellent spelling, grammar, punctuation, and English language skills.

Strong typing and data entry abilities.
