Beacon Hill’s client, a specialized law firm focused on antitrust, intellectual property, and complex commercial litigation, is seeking a Legal Executive Assistant to support their team, consisting of approximately 20 employees, primarily attorneys. Reporting to the Office Administrator, this role handles a range of clerical and administrative tasks, including coordinating activities and events as needed. The position provides administrative support to the assigned team or pool with limited supervision.
- Location: San Francisco, CA 94105. Fully onsite (5 days/week) during the temporary assignment; if converted to direct hire, the schedule would shift to hybrid (3 days onsite/2 days remote).

- Duration: Open-ended with potential to convert direct hire
- Schedule: 10:00 AM – 6:00 PM
- Pay: $40-$45/hour, depending on experience
Education, Experience, and Skills Required:
- Associate’s degree preferred
- 2+ years of general office experience required, prior law firm experience preferred
- Excellent communication skills, both verbal and written
- General knowledge of office equipment and tools
- Strong Microsoft Office skills – Word, Excel, PowerPoint, Outlook, and various document management tools
- Ability to build rapport with attorneys and professional staff
- Strong organizational skills with great attention to detail
- Ability to work independently but within a team environment
Responsibilities:
- General administrative support services
- Maintain calendar and contacts
- Schedule and coordinate room reservations for individual and group meetings
- Greet clients and coordinate meetings, including arranging refreshments and food
- Track monthly expenses, prepare expense reports, and manage corporate card accounts
- Make travel arrangements
- Respond timely to emails requesting other assistance
- Documentation
- Proofread documents at attorney request
- Perform photocopying, scanning, faxing, binding, filing, etc.
- Prepare legal correspondence, documents, electronic filings, etc.
- Document formatting, following firm styles, finalizing document for filing, including TOCs
- Create and maintain files
- Prepare new client/matter forms; engagement letters, etc.
- Create binders
- Track attorney bar admissions, court admissions, and CLEs
- Conduct minor non-billable research for assigned attorneys (i.e., filings, court cases, patents, etc.)
- Enter attorney hours into time management system and manage contract attorney time as applicable
- Review and edit of monthly prebills; drafting cover letters for same
- Handle minor personal tasks for a Partner
- Provide backup services for other admins or office personnel
- Other duties and special projects as assigned
