Beacon Hill Legal is seeking a Legal Secretary for an onsite, temporary position with our client in Miami. This is a full-time role, Monday – Friday, during standard business hours.
The ideal candidate will have 2+ years of relevant experience in a law firm setting as a Legal Secretary or Legal Assistant. Essential duties include:
o Prepare and revise, format and finalize a wide variety of legal documents
o Assist attorneys with new client applications, conflict checks and audit letters
o Accurately enter attorney time into timekeeping system to meet weekly deadlines
o Work closely with Accounting Department staff to prepare client billings and receivables
o Proficiency with making and managing travel arrangements with assistance of travel agency to ensure all aspects of travel are made accurately and communicated effectively (i.e., air, hotel, car, train, meeting rooms, travel memberships accounts and the like)
o Answer, screen and place phone calls to clients and other business associates and respond to client inquiries
o Open, review and route mail as directed
o Provide assistance to other Legal Secretaries within Firm whenever necessary to meet Firm and client needs
o Provide assistance to Shareholders to prepare for all internal/external meetings
o Establish and maintain paper and electronic client and administrative files in compliance with current Firm policies
o Interact on a daily basis with departments within the Firm to facilitate highest possible legal support
o Prepare and submit expense reports
o Manage attorney calendars and schedule client meetings
o Able to prioritize tasks in a high-pressure environment
o Strong organizational skills combined with the ability to work independently on several projects at one time
o Personable, professional, detailed-oriented and a problem solver
o Knowledge of legal terminology
o Excellent written and verbal communication skills
o Ability to deal courteously and effectively with others
o Ability to read, interpret and follow instructions
o Advanced knowledge in formatting briefs, pleadings and other litigation documents
o Knowledge of e-filings and Federal Court procedures
o Excellent written and verbal communication skills
o Position also requires the ability to work under pressure to meet strict deadlines
o Experience with managing monthly client billings preferred
