Beacon Hill Legal is looking for a Records Specialist with experience in records management and information governance within a legal environment.
Job Description
The Records Specialist will be responsible for the day-to-day administration of records management processes, including maintaining accurate records systems, supporting retention and legal hold requirements, and ensuring consistency across internal and off-site records platforms. This role requires prior experience working within structured records environments and the ability to operate independently.
Roles & Responsibilities
- Manage and maintain physical and electronic records in accordance with established legal and regulatory requirements
- Execute records lifecycle activities, including intake, classification, storage, transfer, and disposition
- Perform research to determine appropriate retention and disposition in line with firm policies
- Administer and support legal hold processes and ensure proper documentation and tracking
- Maintain data integrity across Records Management Systems and off-site storage vendors
- Utilize RMS platforms to enter, index, update, and audit records data
- Generate reports and support internal audits related to records management and compliance
- Handle complex records requests and ensure accurate, timely retrieval of information
Qualifications
- Bachelor’s degree required
- 2-3+ years of direct records management or information governance experience required
- Prior experience within a law firm environment strongly preferred
- Hands-on experience managing both physical and electronic records is required (not administrative exposure)
- Experience with records management systems such as iManage Records Manager (IRM), FileTrail, LegalKEY, or similar
- Familiarity with document management systems (iManage or NetDocuments)
- Strong understanding of records retention, legal holds, and compliance standards
- High level of attention to detail and accuracy in data management
- Ability to work independently and manage multiple priorities in a structured environment
