Beacon Hill’s client, an AmLaw 200 firm, is seeking an experienced Litigation Legal Secretary to support a busy, fast‑paced team. This role requires someone proactive, responsive, and confident in their litigation skills, capable of supporting multiple litigators at any given time. Candidates must have recent, hands‑on experience with California court filings and be able to hit the ground running.

  • Location: Hybrid (3 days onsite/2 days remote) – San Francisco, CA 94104 (Financial District)
  • Start: ASAP
  • Duration: Open-ended with potential for direct hire
  • Hours: 37.5 hours per week, Monday-Friday
  • Schedule: 9:00 AM-5:30 PM with a one-hour unpaid lunch OR 9:30 AM-6:00 PM with a one-hour unpaid lunch
  • Reports to: Office Manager (San Francisco)
  • Pay: $40-$45/hour, depending on experience

Desired Experience:

  • Strong litigation legal secretary experience in a law firm environment
  • Must have recent, hands‑on e‑filing experience with California court filings (state and/or federal)
  • Experience supporting multiple litigators in a fast-paced environment
  • Comfortable acting as a floater and assisting with overflow and substantive tasks
  • Preparing, formatting, proofreading, and filing legal documents, including pleadings, motions, and correspondence, in compliance with state and federal court rules
  • Managing state and federal court e-filings accurately and on deadline
  • Apply advanced Microsoft Word formatting, including tables, numbering, styles, redlines, headers/footers, Tables of Contents, and Tables of Authorities (firm uses Best Authority)
  • Experience with iManage or a comparable document management system required (firm uses iManage)
  • Preparing new case reports, running conflict checks, opening new matters, and drafting engagement letters
  • Coordinating litigation calendaring with the docketing department to track deadlines, hearings, and discovery cutoffs accurately
  • Schedule depositions, hearings, and meetings, organize court reporters, coordinating schedules as appropriate for practice of team attorneys.
  • Maintaining organized and up-to-date client files and case management systems
  • Proficient knowledge of legal terminology
  • Processing expense reimbursements and vendor invoices
  • Prepare client billing, including review and edit of proformas as directed by billing attorney, preparation of cover letters, and sending out finalized bills to clients and Accounting Department (firm uses 3E)
