Payroll Specialist Job Description
Position Summary:
The Payroll Specialist is responsible for processing payroll accurately and on time, maintaining payroll records, and ensuring compliance with federal, state, and local payroll, wage, and hour laws. This role works closely with HR, finance, and external vendors to ensure seamless payroll operations.
Key Responsibilities:

Process weekly, bi-weekly, or semi-monthly payroll for all employees in accordance with company policies and applicable laws

Ensure accurate calculation of wages, deductions, benefits, bonuses, and taxes

Maintain and update payroll records including new hires, terminations, promotions, and changes in pay

Prepare and submit payroll tax filings and ensure compliance with all payroll-related regulations

Reconcile payroll reports and resolve discrepancies in a timely manner

Collaborate with HR and Accounting teams on benefits, time tracking, and payroll funding

Provide timely and accurate payroll reports for internal and external audits

Respond to employee inquiries regarding payroll, deductions, and pay discrepancies

Maintain confidentiality of employee information and payroll data at all times
Qualifications:

Associate or Bachelor’s degree in Accounting, Finance, or a related field (preferred)

2+ years of payroll processing experience

Knowledge of payroll software (e.g., ADP, Paychex, Paycom, QuickBooks, or similar)

Strong understanding of federal and state wage and hour laws

Excellent attention to detail and organizational skills

Proficiency in Microsoft Excel and data analysis

Strong communication and problem-solving abilities
