The Accounts Receivable Specialist is responsible for managing customer invoicing, cash applications, collections, account reconciliations, and payment dispute resolution. This role ensures timely collection of outstanding receivables, maintains accurate financial records, and supports the organization’s cash flow and financial reporting objectives.

Key Responsibilities

  • Generate and distribute customer invoices accurately and timely.
  • Apply cash receipts and process customer payments.
  • Monitor accounts receivable aging and proactively follow up on past-due balances.
  • Conduct collections activities via phone and email while maintaining positive customer relationships.
  • Research and resolve billing discrepancies, payment issues, deductions, and disputes.
  • Reconcile customer accounts and prepare account analyses.
  • Prepare and review AR aging reports and collection status updates.
  • Collaborate with Sales, Customer Service, Operations, and Accounting teams to resolve customer account issues.
  • Process credit memos, adjustments, write-offs, and refunds as approved.
  • Assist with month-end and year-end close activities, including reconciliations and journal entries.
  • Maintain organized records of invoices, payments, customer communications, and supporting documentation.
  • Support internal and external audit requests.
  • Identify opportunities to improve AR processes and collection effectiveness.

Qualifications

  • Associate’s or Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
  • 2+ years of Accounts Receivable, Billing, Collections, or General Accounting experience.
  • Strong understanding of AR processes, cash applications, collections, and reconciliations.
  • Proficiency in Microsoft Excel.
  • Experience with ERP systems such as SAP, Oracle, NetSuite, Dynamics, QuickBooks, or similar platforms.
  • Excellent analytical, organizational, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
