Beacon Hill Legal is seeking an Executive Legal Secretary to provide comprehensive administrative support to multiple attorneys within the Litigation Section of a growing commercial law firm. This full-time, direct-hire opportunity is located in Downtown Dallas and requires on-site presence for the first 90 days. After the introductory period, the role offers the flexibility to work remotely one day per week.
Essential Responsibilities:
- Draft documents such as briefs, complaints, motions, subpoenas, and summonses using firm templates and attorney-provided information
- Manage multi-document filings, ensuring proper formatting for each court and e-filing in both State and Federal courts
- Enter and maintain case information in Court Alert
- Prepare notebooks, binders, exhibits, and other necessary documentation; organize and maintain documents in the document management system
- Assist timekeepers in meeting deadlines and keeps them informed of upcoming responsibilities
- Schedule and coordinate conferences and meetings, including room bookings, video conferencing, meal arrangements, and material preparation
- Manage the billing process, including time entry and billing memos, ensuring timely closure of timekeepers’ entries
- Prepare materials for client meetings and update client contact lists
- Handle travel expenses and arrangements, including airline, car, and hotel reservations
- Assist with new attorney admissions to jurisdictions, memberships outside the firm, and coordinate CLE submissions
- Sort, date, and ensure timely delivery of incoming and outgoing mail
- Prepare materials for publication or speaking engagements
- Conduct research using the internet or other web-based programs
- Ensure secretary backup support is provided as needed during scheduled time off
Requirements:
- Bachelor’s degree preferred
- Minimum of three (3) years’ of litigation experience within a law firm required, preferably a mid-to-large size firm
- Proficient in Microsoft Office Suite (Outlook, Word, Excel), document management systems (NetDocs), billing software (Carpe Diem), and expense software (Chrome River); experience with ECF and Texas state e-filing systems required
- Ability to prepare complex documents using advanced word processing features
- Ability to work overtime as needed
