Operations Administrative Assistant
Location: Mount Horeb, WI 53572 (Full time onsite)
Employment Type: Full-Time – Contract for 6-8 weeks

Our client is seeking an organized, proactive problem-solver to serve as the office point person for day-to-day operational needs. This role is essential in ensuring smooth office operations, welcoming visitors, and maintaining a well-stocked and organized environment. Key Responsibilities
- Visitor Management:
- Monitor and manage the gate app to screen visitors, meet them at the door, and complete visitor forms as needed.
- Mail & Invoices:
- Check and process mail; scan invoices and forward to finance department.
- Delivery Coordination:
- Unlock the delivery gate in the morning and lock it in the afternoon.
- Office Supplies & Ordering:
- Order fresh fruit and essentials via Instacart for both two locations.
- Place orders for Amazon and ULINE supplies as needed.
- Food & Refreshments:
- Meet lunch deliveries, clean up afterward, and restock coffee and snacks.
- Conference Room Maintenance:
- Ensure rooms are tidy and ready for meetings.
- Vendor Coordination:
- Meet weekly with Cintas uniform representative and sign for deliveries.
- Coordinate Culligan water delivery when scheduled.
- General Office Support:
- Serve as the go-to person for operational needs and assist with ad hoc tasks.
Qualifications
- Proficiency in MS Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Excellent communication and interpersonal skills.
- Comfortable with light physical activity (e.g., walking between floors to greet visitors).
