Administrative Assistant
Location: Clayton, MO
Employment Type: Full-Time, Onsite
Pay: $55,00 (with opportunity for growth)
Beacon Hill’s client in Clayton, MO is seeking a detail-oriented and proactive Administrative Assistant to provide high-level administrative support to senior leadership. This role supports multiple executives and plays a key part in ensuring smooth day-to-day operations in a fast-paced, professional environment.
Key Responsibilities
- Manage and maintain complex calendars, coordinating internal and external meetings and resolving scheduling conflicts.
- Arrange detailed domestic and international travel, including flights, ground transportation, and accommodations.
- Prepare and compile presentations, reports, and meeting materials for executive and leadership initiatives.
- Maintain organized contact lists, databases, and digital filing systems to ensure accuracy and accessibility.
- Support communication and collaboration with internal teams and affiliated business partners.
- Assist with general administrative and accounting-related processes, including invoice tracking, payables, and financial documentation.
- Coordinate with business partners to ensure timely and complete monthly reporting submission.
- Provide general administrative support and assist with special projects as assigned.
Qualifications
- 1-5 years of administrative or executive support experience, preferably within finance, private equity, or a multi-entity organization.
- Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and PDF tools.
- Exceptional organizational skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Professional demeanor with strong discretion, judgment, and confidentiality.
