A law firm in Miami is seeking a Guest Services Specialist for their team.
The Guest Services Specialist will provide professional and responsive guest services for our conference facilities department.
Key Responsibilities and Essential Functions:
- Assist in the coordination and execution of various meetings and events.
- Assist caterers for meetings and events, including communicating and placing orders with vendors.
- Utilize familiarity with office and conference layouts to facilitate meeting logistics.
- Collaborate with other departments, including marketing.
- Maintain and stock kitchens, conference rooms, and visitor offices.
- Set up and break down beverage, coffee, and food arrangements for daily meetings.
- Manage inventory of supplies and maintain kitchen pantries, including coffee machines and other appliances.
- Perform light administrative duties such as scanning, copying, and invoicing.
- Serve as a back-up receptionist by answering and directing calls to appropriate individuals and greeting guests and visitors.
- Special projects and additional duties as assigned.
Required Skills:
- Exceptional customer service and communication skills with persons of all levels.
- Detail oriented.
Required Qualifications & Education:
- High School diploma required/ Bachelor’s degree preferred.
- 2+ years of experience in related area (coordinating events, hospitality, restaurants, etc.)
- Ability to manage multiple projects.
- Ability to conduct projects with little supervision.
- Ability to maintain professional demeanor under pressure.
- Professional appearance and manner required for interaction with clients, attorneys, and staff.
Physical Requirements:
- Ability to sit or stand for extended periods of time.
- Moderate or advanced keyboard usage
- Ability to lift a minimum of thirty-five pounds.
