Overview
The Facilties Coordinator supports facilities operations across 2-4 portfolios. This role focuses on managing work orders, coordinating vendors, and ensuring smooth day‑to‑day facilities processes.
Key Responsibilities

Review flags, answer inquiries, and create work orders

Follow up on open work orders to ensure timely completion

Support and monitor a small team of multi‑skilled operatives

Build strong working relationships with client partners, landlords, managing agents, and vendors

Assist with contractor oversight to ensure performance standards are met

Support vendor and service procurement as needed
-
Manage purchase orders and assist with financial processes, including accruals and finance trackers
-
Conduct site inspections, audits, and safety procedures

Support property risk management and operational best practices

Maintain facilities in clean, functional condition

Assist with disaster recovery and business continuity procedures

Contribute to management reports and ongoing projects

Meet established KPIs and SLAs
