Tenant Services Administrator
Position Summary
Beacon Hill is seeking a Tenant Services Administrator to support daily operations within a corporate real estate environment. This role serves as the primary point of contact for tenant inquiries, work orders, and lease-related support while ensuring accurate documentation, timely communication, and a high level of customer service.
The ideal candidate is organized, detail‑oriented, and comfortable multitasking across tenant communication, administrative tasks, and property operations in a fast‑paced setting.
Position Details
Job Type: Full-time, Contract
Pay Rate: $20/hr
Schedule: Monday-Friday | 8:00 AM-5:00 PM (30‑minute lunch)
Work Arrangement: Onsite
Assignment Dates: May 2026 – August 2026
Start Date: After interview
Key Responsibilities
Tenant Communication & Customer Service
- Serve as the primary point of contact for tenant inquiries and service requests
- Respond to calls and emails promptly and professionally
- Resolve tenant concerns and escalate issues when needed
- Maintain strong relationships with tenants and internal teams
Work Orders & Operations Support
- Track, update, and follow up on work orders to ensure timely completion
- Coordinate with maintenance teams for repairs and inspections
- Monitor service requests and ensure accurate documentation
Lease & Documentation Support
- Assist with lease administration tasks including renewals and terminations
- Upload and manage Certificates of Insurance for tenants and vendors
- Maintain accurate records of tenant interactions, agreements, and service activity
Property & Portfolio Coordination
- Support move‑in / move‑out processes and related documentation
- Assist with reviewing tenant charges for accuracy
- Provide administrative support to Property Managers as needed
- Contribute to monthly reporting and operational tracking
Systems & Tools
- Microsoft Office (Excel, Word, Outlook)
- Property management systems (e.g., Yardi, AppFolio, or similar)
Qualifications
- Experience in property management, tenant services, or administrative support preferred
- Strong customer service and communication skills
- Proficiency in Microsoft Office, including Excel
- Ability to multitask and manage competing priorities
- Detail‑oriented with strong organizational skills
- Fast learner with the ability to pick up new systems quickly
- Basic understanding of leases, tenant services, or building operations preferred
