A well-established nonprofit organization in Santa Monica is seeking a professional and organized Administrative Assistant to support daily office operations. The Administrative Assistant will provide support to leadership and staff, coordinate office activities, maintain records, and assist with community and donor communications.
Responsibilities
- Answer and route incoming phone calls, emails, and visitor inquiries.
- Manage calendars, schedule meetings, and coordinate conference room logistics.
- Prepare correspondence, reports, presentations, and meeting materials.
- Maintain electronic and physical filing systems.
- Assist with data entry, database updates, and record maintenance.
- Coordinate office supplies, vendor orders, and general office operations.
- Support donor, volunteer, and community outreach communications.
- Assist with event planning, fundraising activities, and special projects.
- Process incoming and outgoing mail.
- Take meeting notes and distribute minutes when needed.
- Provide general administrative support to leadership and program teams.
Qualifications
- 2+ years of administrative assistant, office coordinator, or office support experience.
- Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Experience in a nonprofit environment is a plus.
- Professional demeanor and ability to maintain confidentiality.
