Job Overview

A well-established nonprofit organization in Santa Monica is seeking a professional and organized Administrative Assistant to support daily office operations. This temp-to-hire opportunity is ideal for someone who enjoys a mission-driven environment and thrives in a fast-paced administrative role. The Administrative Assistant will provide support to leadership and staff, coordinate office activities, maintain records, and assist with community and donor communications.

Responsibilities

  • Answer and route incoming phone calls, emails, and visitor inquiries.
  • Manage calendars, schedule meetings, and coordinate conference room logistics.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Maintain electronic and physical filing systems.
  • Assist with data entry, database updates, and record maintenance.
  • Coordinate office supplies, vendor orders, and general office operations.
  • Support donor, volunteer, and community outreach communications.
  • Assist with event planning, fundraising activities, and special projects.
  • Process incoming and outgoing mail.
  • Take meeting notes and distribute minutes when needed.
  • Provide general administrative support to leadership and program teams.

Qualifications

  • 2+ years of administrative assistant, office coordinator, or office support experience.
  • Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Experience in a nonprofit environment is a plus.
  • Professional demeanor and ability to maintain confidentiality.
