Our client, a real estate investment company located in Somerville, is seeking an Administrative Coordinator to join their team on a temp to perm basis. The hours for this hybrid role are 8:30am-5:30pm and is compensating $30-$35 an hour, depending on experience. Responsibilities:
- Maintain project schedules, coordinate project plans, and track project information
- Prepare and track contracts and change orders
- Manage Accounts Payable tasks including check requests and vendor setup; familiarity with AIA billing is necessary
- Organize and track contract documents such as lien waivers and certificates of insurance
- Communicate with stakeholders including executives, officials, and vendors
- Oversee property warranty documentation
- Support contractors and consultants with plan prep, permitting, and scheduling
- Attend and contribute to project meetings
- Assist with closeout documentation and tenant requests
- Coordinate with utility companies for service setup and billing
- Provide administrative support to the tenant coordination team
- Handle special projects as assigned
Qualifications:
- Bachelor’s Degree preferred
- 2+ years of experience in a similar administrative or coordinator role, ideally in construction, architecture, or commercial real estate
- Strong written and verbal communication skills
- Ability to thrive in a fast-paced team setting
- Highly organized with strong attention to detail and multitasking abilities
- Understanding of construction/development processes is a plus
- Self-starter with sound decision-making skills
- Strong problem-solving and critical thinking abilities
- Positive, team-oriented mindset with a commitment to excellent client service
- Discretion when handling confidential information
- Proficiency in MS Office Suite and Outlook; DocuSign experience is a plus
