Our client, a Biotechnology Research firm, is seeking an open-ended Temporary Executive Assistant to join their growing team. The hours are 9am-5pm (flex as needed given there will be UK coverage). This role is in office 2 days with 3 days work from home. The office is in Berkley Heights, NJ. Hourly rate is up to $45/hr.
Responsibilities:
- Provide a full range of administrative services for the executives
- Manage and maintain a complex Outlook calendar
- Schedule meetings, organize catering, prepare agendas
- Coordinate extensive domestic and international travel arrangements, including arranging visas, booking hotels and transportation, and managing itineraries
- Manage invoices, budget reports, and timely submission of team expense reports
- Prepare presentations, emails, and sensitive documents
- Handle general office duties and ad hoc projects
Qualifications:
- Bachelor’s Degree highly preferred
- 5+ years of experience supporting at least 2 executives, preferably out of pharma
- Tech savvy: proficient in Microsoft Office Suite (Word, PP, Excel)
- Demonstrated strength in time management and organizational skills
- Must have international travel booking experience
- Must have experience working across time zones
