This is a short-term, onsite administrative role within an academic healthcare setting, supporting a university-based dental clinic. The position is located in Boston, MA (onsite at a medical campus) and runs for approximately three months, from mid-March through mid-June. The schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m., totaling 40 hours per week. The candidate will be compensated $26/hour.

Job Responsibilities

  • Coordinate clinic schedules by filling openings from cancellation lists or in-progress treatments
  • Conduct 48-hour appointment confirmation and fee balance calls
  • Answer incoming patient calls and return messages promptly
  • Follow up with late or no-show patients, including sending missed appointment or return-for-treatment letters
  • Process internal referrals from predoctoral and postdoctoral programs by contacting patients and scheduling appointments
  • Process external referrals by contacting patients and scheduling based on waiting lists
  • Address failed or invalid external referrals, including outreach to referring dentists and system updates
  • Send referral-related emails to appropriate departments (e.g., predoctoral endodontics or pediatric dentistry)
  • Scan and distribute correspondence for communication with external providers
  • Monitor shared documents related to in-progress resident treatments
  • Open and monitor sessions/notes and run system reports
  • Generate appointment and clinic activity reports for the Clinic Manager
  • Assist the Clinical Manager with sign-out processes and special projects as needed

Candidate Qualifications

  • Prior experience in a medical, dental, or clinical administrative setting preferred
  • Strong phone communication and customer service skills
  • Ability to manage scheduling, referrals, and multiple priorities accurately
  • Comfortable working with electronic health records and shared documentation systems
  • Strong attention to detail and follow-through
  • Ability to work independently while supporting a clinical team in a fast-paced environment
