Our client is seeking a proactive and highly organized Executive Assistant/Office Manager to support two senior leaders while owning the daily operations of a busy New York office. This role requires exceptional communication skills, strong judgment, and the ability to balance high‑level EA support with hands‑on office management responsibilities. Hours are 8:30am-5:30pm with flexibility as needed. The position follows a hybrid schedule with four days onsite.
Key Responsibilities:
- Provide executive support including heavy calendar management, prioritizing meetings, and ensuring timely communication
- Coordinate domestic and international travel, prepare itineraries, and manage related logistics
- Support light personal requests as needed for the CEO in urgent situations
- Prepare, update, and maintain client information in Salesforce; provide forward‑looking calendars and ensure meeting materials are ready
- Liaise with internal and external partners, acting as a representative of senior leadership
- Oversee daily office operations including vendor management, kitchen inventory, supplies, mail, and coordination with building management
- Support office events in partnership with People & Culture
- Maintain an organized, client‑ready office environment and provide high‑touch hospitality
- Assist with special projects, office upkeep, and administrative workflows as needed
Qualifications:
- 6-8+ years of Executive Assistant and/or office management experience; financial services experience a plus
- Strong communication and interpersonal skills with exceptional professionalism
- Highly organized with strong judgment, ability to prioritize, and ability to shift gears seamlessly
- Service‑oriented, proactive, and comfortable managing both high‑level EA work and hands‑on office needs
- Strong team player with low ego and willingness to jump in wherever needed
- Tech‑savvy with strong Microsoft Office skills and Salesforce experience preferred
- Comfortable supporting senior executives with varying workstyles
- Must live in NYC for reliable onsite presence
- Bachelor’s degree highly preferred
