Beacon Hill has partnered with a growing financial services firm in the Chicago Loop in hiring a part-time Administrative Assistant to start immediately! This role will be Monday – Thursday from 9am – 3pm.
Responsibilities:
- Greet visitors and serve as the first point of contact for clients, guests, and vendors
- Answer and route incoming phone calls in a professional and courteous manner
- Manage front desk coverage, calendars, and meeting room scheduling
- Handle inbound and outbound mail, packages, and deliveries
- Perform general administrative tasks including data entry, filing, and document preparation
- Assist with email correspondence and basic follow-up communication
- Order and maintain office supplies as needed
- Support internal staff with ad hoc administrative projects
- Maintain a clean, organized, and welcoming reception area
Requirements
- Prior experience in an administrative assistant, receptionist, or office support role preferred
- Bachelor’s Degree highly preferred
- Strong verbal and written communication skills
- Professional, friendly, and reliable demeanor
- Proficiency in Microsoft Office (Outlook, Word, Excel) or Google Workspace
- Strong attention to detail and organizational skills
- Ability to multitask and manage time effectively in a fast-paced environment
- Comfort interacting with clients and internal stakeholders
- Availability to work part-time during standard business hours
