A well-established, boutique law firm in downtown Chicago is seeking an Administrative Assistant to join their close-knit team. Key Responsibilities
- Provide general administrative and legal support across the office as needs arise
- Assist with billing and invoicing (beyond basic time entry); learn and manage the firm’s billing system
- Heavy Excel usage for reporting, tracking, and administrative support
- Support day-to-day office operations including ordering supplies and inventory management
- Assist with accounts payable/financial tasks (QuickBooks or similar exposure is a plus)
- Act as backup support to other team members when needed
- Learn new processes quickly and proactively problem-solve
Qualifications
- 1-3+ years of experience in a law firm or professional services environment
- Strong Excel skills required
- Prior experience within a billing software required
- Experience with QuickBooks, Timeslips, or similar systems is a plus
- Strong communication skills and the ability to take clear notes and confirm expectations
