Our client is seeking a proactive, detail‑oriented Executive Assistant to support the Total Rewards team within a leading global investment firm. The environment is fast‑paced, collaborative, and highly professional, and the ideal candidate is solutions‑oriented and confident managing priorities independently. Hours are typically 8:30am-5:00pm with flexibility as needed, and the role is fully onsite five days per week with some flexibility over time.
Key Responsibilities:
- Provide executive‑level administrative support to leaders within the Total Rewards team
- Manage complex calendars with a proactive, strategic approach to prioritization
- Coordinate internal meetings, cross‑functional collaboration, and team logistics
- Support project coordination efforts tied to employee programs and engagement initiatives
- Assist with planning and execution of wellness programs, benefits events, and internal initiatives
- Coordinate domestic and occasional international travel and prepare detailed itineraries
- Process expense reports accurately and in a timely manner
- Manage communications, including drafting, editing, and prioritizing emails
- Maintain organized systems for documents, contacts, and workflows
- Liaise with internal teams and stakeholders across departments
- Anticipate needs and proactively solve problems in a fast‑moving environment
Qualifications:
- 5-7+ years of Executive Assistant experience
- Experience in financial services or a fast‑paced corporate environment preferred
- Proven ability to manage tasks independently from start to finish
- Strong calendar management and prioritization skills
- Excellent attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to multitask and thrive under pressure
- High level of discretion and professionalism
- Proactive, solutions‑oriented mindset
- Advanced proficiency in Microsoft Office (especially Outlook, Excel, PowerPoint)
Compensation/Benefits:
- Up to $110K-$115K base salary + paid overtime + discretionary bonus + stock options
