Our client is seeking a proactive, detail‑oriented Executive Assistant to support the Total Rewards team within a leading global investment firm. The environment is fast‑paced, collaborative, and highly professional, and the ideal candidate is solutions‑oriented and confident managing priorities independently. Hours are typically 8:30am-5:00pm with flexibility as needed, and the role is fully onsite five days per week with some flexibility over time.

Key Responsibilities:

  • Provide executive‑level administrative support to leaders within the Total Rewards team
  • Manage complex calendars with a proactive, strategic approach to prioritization
  • Coordinate internal meetings, cross‑functional collaboration, and team logistics
  • Support project coordination efforts tied to employee programs and engagement initiatives
  • Assist with planning and execution of wellness programs, benefits events, and internal initiatives
  • Coordinate domestic and occasional international travel and prepare detailed itineraries
  • Process expense reports accurately and in a timely manner
  • Manage communications, including drafting, editing, and prioritizing emails
  • Maintain organized systems for documents, contacts, and workflows
  • Liaise with internal teams and stakeholders across departments
  • Anticipate needs and proactively solve problems in a fast‑moving environment

Qualifications:

  • 5-7+ years of Executive Assistant experience
  • Experience in financial services or a fast‑paced corporate environment preferred
  • Proven ability to manage tasks independently from start to finish
  • Strong calendar management and prioritization skills
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to multitask and thrive under pressure
  • High level of discretion and professionalism
  • Proactive, solutions‑oriented mindset
  • Advanced proficiency in Microsoft Office (especially Outlook, Excel, PowerPoint)

Compensation/Benefits:

  • Up to $110K-$115K base salary + paid overtime + discretionary bonus + stock options
