Beacon Hill has partnered with a growing association in downtown Chicago in hiring a Program Coordinator to start immediately! This is a great opportunity to play a visible, high-impact role shaping programs that directly enhance member experience and engagement.
Responsibilities:
- Serve as a central point of coordination for programs, initiatives, and member-facing activities
- Plan, schedule, and execute programs including events, webinars, committee meetings, and educational offerings
- Collaborate with internal teams and volunteer leaders to ensure successful program delivery and alignment with organizational goals
- Manage program timelines, materials, communications, and logistics from planning through completion
- Maintain strong relationships with members, sponsors, speakers, and external partners
- Track program participation, engagement, and feedback; prepare reports and recommend improvements
- Support marketing efforts by coordinating program-related content, email communications, and website updates
- Assist with budget tracking, vendor coordination, and invoice processing for programs and events
- Provide administrative support for committees, including scheduling meetings, preparing agendas, and taking notes
- Ensure a high level of member satisfaction by responding to inquiries and providing timely, professional communication
- Identify opportunities to enhance programming and increase member engagement
Requirements
- 2+ years of experience in program coordination, association management, event planning, or related field
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High attention to detail and ability to execute tasks accurately
- Proficiency in Microsoft Office Suite; experience with CRM or association management systems is a plus
- Ability to work collaboratively with cross-functional teams and volunteer leadership
- Experience coordinating virtual and/or in-person events preferred
- Strong customer service mindset with a focus on member experience
- Bachelor’s degree preferred or equivalent work experience
