Beacon Hill has partnered with a long-standing client in downtown Chicago in hiring a Project Coordinator to start immediately! This newly created role will support high-impact construction projects by keeping teams aligned, organized and on schedule.
Responsibilities:
- Support Project Managers with the coordination of active construction projects from pre-construction through closeout
- Track project timelines, milestones, and deliverables to ensure schedules are maintained
- Maintain and update project schedules, logs, and documentation in project management systems
- Coordinate communication between field teams, subcontractors, vendors, and internal stakeholders
- Schedule and organize project meetings, including preparing agendas and capturing meeting notes
- Follow up on open items, action steps, and pending deliverables to keep projects moving forward
- Assist with procurement activities including tracking submittals, RFIs, change orders, and material deliveries
- Maintain accurate records of contracts, permits, drawings, and project documentation
- Help track project budgets, invoices, and expenses in coordination with accounting or finance teams
- Monitor compliance with project requirements, safety protocols, and company procedures
- Assist with project reporting, including status updates, progress reports, and client-facing summaries
- Identify scheduling or coordination issues and escalate risks or delays to the Project Manager
- Coordinate project closeout activities, including final documentation, punch lists, and turnover materials
Requirements:
- 2+ years of experience in a project coordination or administrative role within construction or a related industry
- Highly organized with strong attention to detail and ability to manage multiple projects simultaneously
- Excellent communication skills, both written and verbal, with ability to work cross-functionally
- Proficiency with project management software (Procore, Bluebeam, Primavera, MS Project, or similar)
- Advanced skills in Microsoft Office (Excel, Word, Outlook)
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Problem-solving mindset with a proactive, follow-through approach
- Comfortable working with field teams and construction personnel
- Bachelor’s degree preferred; equivalent experience in construction or project coordination considered
