This Administrative Assistant contract position offers $27/hour and follows a Monday-Friday, 9:00 AM-5:00 PM schedule with a one-hour lunch. The role is based onsite in Boston and supports a nonprofit human services organization focused on providing community assistance, housing, childcare, and economic empowerment programs. This is a 3-6 month maternity leave coverage assignment with potential for permanent hire.
Key Responsibilities:
- Provide administrative support to senior leadership, including calendar management and meeting coordination.
- Prepare meeting notes, presentations, slide decks, and briefing materials.
- Coordinate office supply inventory and general office operations.
- Process invoices and assist with financial reporting and documentation.
- Support policy updates and internal communications.
- Assist with recruiting activities, interview scheduling, and job posting management.
- Support onboarding, background screening, orientation materials, and employee records maintenance.
- Coordinate exit interview processes and routine HR correspondence.
- Assist with audits, contract administration, credit card program support, and financial file management.
- Maintain gift card distribution records and support department operations as needed.
Qualifications:
- Associate’s or Bachelor’s degree preferred, or equivalent experience.
- Minimum 5+ years of administrative assistant experience, preferably supporting senior leaders or multiple departments.
- Strong organizational, multitasking, and time management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to handle confidential employee and financial information with discretion.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with HRIS, ERP, or similar business systems preferred.
- Nonprofit, healthcare, or human services industry experience preferred.
- Valid driver’s license and reliable transportation for occasional local travel.
- Ability to work independently and take initiative.
