Our client is seeking a highly organized, proactive Office Administrator/Executive Assistant to support leadership and office operations within a growing healthcare-focused private equity firm. This is a blended EA and Office Management role offering exposure to executive support, workplace operations, investor interactions, and firm-building initiatives. The ideal candidate is service-oriented, detail-focused, and thrives in an entrepreneurial environment where no task is too big or too small. Hours are generally 9:00am-6:00pm with occasional flexibility as needed, and the role follows a hybrid schedule with Monday-Thursday onsite and Fridays remote.
Key Responsibilities:
- Provide executive support to firm leadership, including calendar management and meeting coordination
- Coordinate domestic and international travel arrangements, itineraries, and logistics
- Process expense reports and assist with reimbursement tracking
- Support light personal assistant responsibilities, including reservations, family logistics, and scheduling
- Serve as the primary point of contact for day-to-day office operations
- Welcome visitors, investors, and portfolio company executives while ensuring a polished office experience
- Manage conference room scheduling, meeting preparation, audiovisual setup, and catering coordination
- Liaise with building management, vendors, and service providers regarding facilities issues and office maintenance
- Oversee office supplies, kitchen inventory, pantry stocking, and common-space organization
- Support onboarding logistics, workspace setup, and office initiatives as the firm grows
- Assist with firm events, team activities, and special projects
- Identify opportunities to improve administrative processes and operational efficiency
Qualifications:
- 3-5+ years of Executive Assistant, Office Manager, Office Administrator, or related experience
- Bachelor’s degree required
- Strong calendar management, travel coordination, and expense management experience
- Excellent organizational and multitasking skills
- Strong written and verbal communication abilities
- High level of professionalism, discretion, and judgment
- Experience working in entrepreneurial or high-growth environments preferred
- Strong Microsoft Office proficiency, including Outlook, Word, Excel, and PowerPoint
- Resourceful, proactive, and comfortable taking ownership of responsibilities
Compensation/Benefits:
- Up to $90K-$110K base salary + discretionary bonus
