Our client is seeking a highly organized, proactive Executive Assistant to support a team of senior professionals within the operations and consulting arm of a leading global investment firm. This is a high-volume team support role partnering closely with another Executive Assistant to provide seamless support across a busy group of professionals who work directly with portfolio company leadership. The ideal candidate is collaborative, detail-oriented, and thrives in a fast-paced environment where calendar management, travel coordination, and partnership are critical to success. Hours are generally 8:30am-5:00pm with flexibility as needed, and the role is fully onsite five days per week with potential flexibility earned over time.
Key Responsibilities:
- Provide executive support to a team of six senior professionals alongside a partner Executive Assistant
- Manage complex and fluid calendars across multiple stakeholders and time zones
- Coordinate extensive domestic and international travel arrangements, including detailed itineraries and logistics
- Prepare and submit expense reports accurately and in a timely manner
- Coordinate internal and external meetings, conference calls, and executive events
- Draft, proofread, edit, and manage correspondence and administrative materials
- Maintain organized filing systems, databases, trackers, and contact records
- Liaise with portfolio companies, investors, executives, and internal stakeholders
- Anticipate scheduling conflicts and proactively resolve challenges
- Support hospitality needs, meeting logistics, and special projects
- Provide backup coverage and collaborate closely with the broader administrative team
Qualifications:
- Bachelor’s degree required
- 5-8+ years of Executive Assistant, Administrative Assistant, Project Coordinator, or related support experience
- Financial services experience preferred but not required
- Professional services, consulting, talent agency, legal, or other project-oriented environments highly transferable
- Exceptional calendar management and travel coordination skills
- Strong organizational abilities with outstanding attention to detail
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
- Strong project management and multitasking capabilities
- Collaborative, team-oriented mindset with a willingness to pitch in wherever needed
Compensation/Benefits:
- $75K-$120K base salary + paid overtime + discretionary bonus + stock options
