Our client is seeking a highly organized, proactive Executive Assistant to support the People Team within a leading private equity firm downtown. This is a senior-level executive support and project coordination role supporting the Chief Human Resources Officer, senior HR leadership, and recruiting functions. The ideal candidate is detail-oriented, highly responsive, and comfortable balancing complex scheduling, project management, recruiting coordination, and strategic HR initiatives in a fast-paced environment. Hours are generally 9:00am-5:00pm with flexibility for occasional early or late meetings, and the role is fully onsite five days per week.
Key Responsibilities:
- Provide executive support to the Chief Human Resources Officer and senior Human Resources leadership team
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders
- Coordinate recruiting interviews and scheduling for the talent acquisition team
- Support project management and program coordination for People Team initiatives
- Prepare meeting materials, presentations, reports, and supporting documentation
- Maintain organizational systems, employee records, trackers, and administrative workflows
- Assist with team events, leadership meetings, and People Team programs
- Coordinate travel arrangements and related logistics when required
- Serve as a professional point of contact for employees, candidates, and external partners
- Assist with reporting, tracking, and Excel-based projects
- Partner closely with the broader administrative and People teams to support firm growth
Qualifications:
- 7+ years of prior administrative support experience
- Strong calendar management and executive scheduling expertise
- Excellent organizational skills and attention to detail
- Advanced Microsoft Office proficiency, particularly Excel and Outlook
- Experience coordinating multiple workstreams simultaneously
- Strong written and verbal communication skills
- Ability to handle confidential information with discretion
- Strong relationship-building skills and collaborative mindset
- Bachelor’s degree not required
