Our client is seeking a highly organized, proactive Executive Assistant to support the People Team within a leading private equity firm downtown. This is a senior-level executive support and project coordination role supporting the Chief Human Resources Officer, senior HR leadership, and recruiting functions. The ideal candidate is detail-oriented, highly responsive, and comfortable balancing complex scheduling, project management, recruiting coordination, and strategic HR initiatives in a fast-paced environment. Hours are generally 9:00am-5:00pm with flexibility for occasional early or late meetings, and the role is fully onsite five days per week.

Key Responsibilities:

  • Provide executive support to the Chief Human Resources Officer and senior Human Resources leadership team
  • Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders
  • Coordinate recruiting interviews and scheduling for the talent acquisition team
  • Support project management and program coordination for People Team initiatives
  • Prepare meeting materials, presentations, reports, and supporting documentation
  • Maintain organizational systems, employee records, trackers, and administrative workflows
  • Assist with team events, leadership meetings, and People Team programs
  • Coordinate travel arrangements and related logistics when required
  • Serve as a professional point of contact for employees, candidates, and external partners
  • Assist with reporting, tracking, and Excel-based projects
  • Partner closely with the broader administrative and People teams to support firm growth

Qualifications:

  • 7+ years of prior administrative support experience
  • Strong calendar management and executive scheduling expertise
  • Excellent organizational skills and attention to detail
  • Advanced Microsoft Office proficiency, particularly Excel and Outlook
  • Experience coordinating multiple workstreams simultaneously
  • Strong written and verbal communication skills
  • Ability to handle confidential information with discretion
  • Strong relationship-building skills and collaborative mindset
  • Bachelor’s degree not required
