Our client is seeking a highly organized, proactive Executive Assistant to support the Global Chief Administrative Officer of a leading transatlantic law firm. This is a high-exposure Executive Assistant role combining traditional executive support with project coordination, strategic initiatives, event support, and cross-functional business operations. The ideal candidate is intellectually curious, tech-savvy, and eager to grow beyond core administrative responsibilities while serving as a trusted partner to a highly respected global executive. Hours are generally 9:30am-5:30pm ET with occasional flexibility as needed, and the role follows a hybrid 4/1 schedule.
Key Responsibilities:
- Provide dedicated executive support to the Global Chief Administrative Officer
- Manage complex calendars, meeting coordination, and executive priorities
- Coordinate domestic and international travel, including detailed itineraries, transportation, accommodations, and logistics
- Process expenses and invoices accurately and efficiently
- Manage scheduling tradeoffs and prioritize executive commitments strategically
- Attend meetings, capture notes, and track follow-up items and open action plans
- Prepare presentations, proposals, reports, and executive materials
- Proofread documents, decks, and communications with exceptional attention to detail
- Conduct research and gather information for projects, meetings, and firm initiatives
- Support event planning, executive meetings, and special projects
- Serve as a liaison across business services, administrative teams, and firm leadership
- Leverage technology and AI tools to improve efficiency and enhance executive support
Qualifications:
- Bachelor’s degree required
- 3+ years of Executive Assistant experience supporting senior executives
- Law firm, consulting, financial services, or other professional services experience preferred
- Strong calendar management and complex travel coordination expertise
- Exceptional written and verbal communication skills
- Excellent project management and organizational abilities
- Strong attention to detail and ability to manage multiple priorities simultaneously
- High level of professionalism, judgment, and discretion
- Strong technology proficiency, including Microsoft Office Suite, Outlook, Adobe, and virtual meeting tools
- Interest in AI tools, operational improvement, and process enhancement
- Relationship-oriented with strong interpersonal and stakeholder management skills
Compensation/Benefits:
- Up to $125K-$140K base salary + discretionary bonus
- Hybrid schedule (4 days onsite, 1 remote)
