Our client, an architecture firm located in Midtown Manhattan, is seeking a Temporary Office Coordinator with 1-3 years of experience to support their approximately 34-person office. Responsibilities include meeting and greeting guests, maintaining and restocking the pantry, coordinating meetings, running errands, and serving as a polished point of contact for high-level clients and visitors. The ideal candidate is professional, personable, and enjoys being the office go-to person. The role will be five days on-site and hours are 9am-6pm. Compensation is up to $30/hour.
Responsibilities:
- Greeting all visitors and clients in a pleasant and helpful manner
- Accurately schedule meeting rooms and resources; prepare for meetings by ordering food or assist in meeting set-up, if necessary
- Assist with cleaning and maintaining kitchen including replenishing coffee, refrigerator clean-up and running dishwasher
- Maintain cleanliness of all conference rooms, cleaning them between meetings and as necessary
- Maintain office calendar and senior staff calendars with special attention to possible conflicts
- Support PAU’s senior leadership staff as needed with administrative duties, project tasks, and other requests
- Provide business development support and assist the CFO with invoicing support as needed
- Regularly update and coordinate posts for PAU’s Instagram and LinkedIn accounts
- Regularly update and maintain PAU’s website
- Work with colleagues to source content for socials
- Complete daily administration and office management tasks
- Keep office files up to date, keep shelves neat and orderly
- Maintain a full-time, in-person regular schedule from 9 am to 6 pm
- Early arrival or late departure may be required to accommodate early morning meetings that begin before 9 am or meetings that run past 6 pm
- Maintain library of books, samples, and brochures
- Conduct client, market, and project-specific research, as necessary
- Run errands as needed
- Keep inventory of office supplies and place orders as needed
- Schedule and organize officewide Lunch & Learn series
- Plan and coordinate office happy hours and other informal team gatherings
Qualifications:
- Experience in a similar position
- Availability for the full duration of the assignment (mid/late October 2026 – end of January 2027)
- Excellent writing, grammar, and interpersonal skills (in person, phone, letter, email)
- Knowledge of MS Office
- Experience with LinkedIn, Instagram, Website Management (WordPress)
- Must be extremely organized and able to multitask
- Proactive, self-sufficient work style
- Strong knowledge of general office practice and procedures
- Must be reliable, dependable and have superior attendance
- Must take accurate messages and forward in a timely manner
- Ability to follow directions and procedures from others
- Interest in architecture and urban design a plus
