Our client is seeking a highly organized, proactive Executive Assistant to support the President and additional senior investment professionals within a growing private equity firm. This is a high-touch Executive and Personal Assistant role requiring exceptional judgment, responsiveness, and the ability to seamlessly manage both business and personal priorities for a highly active executive. The ideal candidate is resourceful, detail-oriented, and thrives in a fast-paced environment where anticipating needs, managing competing priorities, and building trusted relationships are critical to success. Hours are generally 9:00am-6:00pm, and the role follows a hybrid schedule with four days onsite and one day remote.
Key Responsibilities:
- Provide executive support to the President and light support to additional investment professionals
- Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders
- Coordinate domestic and international travel arrangements, including commercial and private travel logistics
- Process expenses and manage administrative workflows
- Prepare agendas, meeting materials, and executive correspondence
- Serve as a trusted gatekeeper and partner, helping prioritize executive time and commitments
- Coordinate personal and family-related logistics, including travel arrangements and scheduling
- Liaise with the executive’s spouse, assistants, vendors, and external service providers
- Make restaurant reservations, coordinate events, and assist with entertainment-related planning
- Support board meetings, investor interactions, conferences, and business development activities
- Anticipate conflicts, identify solutions, and proactively manage changing priorities
Qualifications:
- 10+ years of Executive Assistant and/or Personal Assistant experience
- Financial services, private equity, investment banking, hedge fund, or related industry experience required
- Experience supporting C-suite executives, presidents, founders, or senior investment professionals
- Strong calendar management and complex travel coordination expertise
- Previous experience supporting both business and personal matters preferred
- Exceptional organizational skills and attention to detail
- Excellent written and verbal communication abilities
- Strong executive presence, professionalism, and judgment
- Ability to anticipate needs and proactively solve problems
- Comfortable working in a fast-paced environment with shifting priorities
- Collaborative, service-oriented mindset with a “come from yes” approach
- Bachelor’s degree preferred but not required
Compensation/Benefits:
- Up to $140K-$150K base salary + annual bonus
