Our client, a large nonprofit healthcare and senior living organization, is seeking a full-time HR Administrative Assistant for a temporary 3+ month assignment. This fully onsite position offers $28/hour and a schedule of 7:45 AM – 3:45 PM. Located in Boston, this role serves as the first point of contact for employees, visitors, and applicants while providing administrative and operational support to the Human Resources team. Key Responsibilities
- Greet visitors, employees, and applicants, providing exceptional customer service and directing inquiries appropriately.
- Answer and route incoming HR department calls.
- Assist employees with basic Workday-related tasks and support applicants through the application process.
- Verify and maintain I-9 documentation, including tracking expiration requirements.
- Handle sensitive employee and company information with strict confidentiality.
- Ensure compliance with HR data management policies, privacy regulations, and data security protocols.
- Coordinate front desk coverage to ensure consistent service during breaks and absences.
- Manage ticket purchasing across the organization.
- Process HR team expense reimbursements and vendor invoices.
- Support onboarding and new hire processes.
- Coordinate monthly new hire orientation logistics, including materials, room setup, catering, schedules, and presentations.
- Assist with recruitment activities, interviews, job fairs, open houses, and other hiring events.
- Prepare recruitment materials and support department initiatives as needed.
Candidate Qualifications
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- 2-4 years of HR, administrative, or related experience in a fast-paced environment.
- Experience supporting employee inquiries, payroll, benefits administration, or HR systems preferred.
- Familiarity with Human Capital Management (HCM) systems such as Workday, Epicor, or similar platforms.
- Strong customer service and interpersonal skills.
- Professional, proactive, collaborative, and results-oriented approach.
- Excellent organizational and multitasking abilities.
- Strong analytical and problem-solving skills.
- Ability to manage multiple priorities and adapt to changing demands.
- Strategic thinker with the ability to handle challenging situations effectively.

- Proficient in Microsoft Office (Word, Excel), databases, and general computer applications.
