Our client, a large nonprofit healthcare and senior living organization, is seeking a full-time HR Administrative Assistant for a temporary 3+ month assignment. This fully onsite position offers $28/hour and a schedule of 7:45 AM – 3:45 PM. Located in Boston, this role serves as the first point of contact for employees, visitors, and applicants while providing administrative and operational support to the Human Resources team. Key Responsibilities

  • Greet visitors, employees, and applicants, providing exceptional customer service and directing inquiries appropriately.
  • Answer and route incoming HR department calls.
  • Assist employees with basic Workday-related tasks and support applicants through the application process.
  • Verify and maintain I-9 documentation, including tracking expiration requirements.
  • Handle sensitive employee and company information with strict confidentiality.
  • Ensure compliance with HR data management policies, privacy regulations, and data security protocols.
  • Coordinate front desk coverage to ensure consistent service during breaks and absences.
  • Manage ticket purchasing across the organization.
  • Process HR team expense reimbursements and vendor invoices.
  • Support onboarding and new hire processes.
  • Coordinate monthly new hire orientation logistics, including materials, room setup, catering, schedules, and presentations.
  • Assist with recruitment activities, interviews, job fairs, open houses, and other hiring events.
  • Prepare recruitment materials and support department initiatives as needed.

Candidate Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree preferred.
  • 2-4 years of HR, administrative, or related experience in a fast-paced environment.
  • Experience supporting employee inquiries, payroll, benefits administration, or HR systems preferred.
  • Familiarity with Human Capital Management (HCM) systems such as Workday, Epicor, or similar platforms.
  • Strong customer service and interpersonal skills.
  • Professional, proactive, collaborative, and results-oriented approach.
  • Excellent organizational and multitasking abilities.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple priorities and adapt to changing demands.
  • Strategic thinker with the ability to handle challenging situations effectively.
  • Motivated to learn and flexible in a dynamic environment.
  • Proficient in Microsoft Office (Word, Excel), databases, and general computer applications.
