Our client is seeking a highly organized, proactive Executive Assistant & Office Manager to support the Founder/CEO of a growing investment management firm while serving as a critical operational partner to the broader team. This is a high-level role that sits at the center of the organization and requires exceptional judgment, discretion, and organizational skills. The ideal candidate is an Executive Assistant who thrives in a small, high-performing environment and enjoys balancing strategic executive support, investor relations coordination, and office leadership responsibilities. Hours are generally 7:45/8:00am-5:15pm with flexibility as needed. The role is fully onsite five days per week.
Key Responsibilities:
- Provide comprehensive Executive Assistant support to the Founder & CEO
- Manage complex professional and personal calendars, scheduling, and prioritization
- Coordinate domestic and international travel arrangements, itineraries, logistics, and transportation
- Facilitate personal financial administration, including investment-related correspondence, tax documentation, insurance matters, and invoice management
- Assist with trustee administration, estate-related activities, and highly confidential personal matters
- Prepare, print, organize, maintain, and archive professional and personal documents, files, and records
- Provide support to the Director of Investor Relations, including scheduling, CRM management, meeting preparation, expense reporting, and fundraising activities
- Produce investor reports, meeting materials, briefing documents, and marketing-related support
- Oversee day-to-day office operations and serve as the primary Office Manager
- Manage office vendors, facilities, technology coordination, building management, supplies, kitchen operations, catering, events, and office services
- Coordinate team events, annual gatherings, and employee experience initiatives
Qualifications:
- Bachelor’s degree required
- 10+ years of Executive Assistant experience supporting senior executives
- Financial services, hedge fund, investment management, private equity, or related professional services experience strongly preferred
- Experience supporting founders, CEOs, CIOs, or senior investment professionals required
- Exceptional written and verbal communication skills
- Strong proofreading and document review experience
- Experience managing confidential personal and business matters with discretion
- Strong Microsoft Office proficiency, particularly Outlook, Word, Excel, and PowerPoint
- Experience with CRM systems, expense platforms, and business management software
- Familiarity with Bloomberg and financial research resources is highly desirable
