This temporary-to-permanent Office Administrator position is located in Boston and requires a fully onsite schedule Monday through Friday, 9:00 AM-5:00 PM (40 hours per week). This role is compensating up to $30/hour on the contract side and 70K once permanent. The opportunity is with a law firm specializing in litigation, bankruptcy, transactional law, and business legal services. The role focuses on office operations, administrative support, scheduling, file management, vendor coordination, and maintaining efficient day-to-day office functions.
Responsibilities:
- Manage daily office administration and operations
- Coordinate incoming/outgoing mail, scanning, copying, and electronic filing
- Maintain organized physical and electronic files
- Manage attorney calendars, meetings, appointments, and deadlines
- Monitor and replenish office and kitchen supplies
- Coordinate with vendors and service providers
- Assist with office equipment management and maintenance needs
- Serve as a professional point of contact for clients, vendors, courts, and outside parties
- Support client intake and onboarding processes
- Maintain and update administrative records, manuals, and documentation
- Manage client and matter files within practice management systems
- Monitor important dates, deadlines, and docket alerts
- Assist with workflow improvements and administrative process documentation
- Support implementation of new technology tools and systems
- Provide general administrative and project support as needed
Qualifications:
- Four or more years of administrative, office management, operations, or coordinator experience
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines
- Proficiency with Microsoft Office, including Word, Outlook, and Excel
- Comfortable learning and using new technology platforms and systems
- Ability to handle confidential information with discretion
- Professional, dependable, and service-oriented approach
- Ability to work independently and collaboratively with attorneys and staff
- Willingness to take ownership of routine and unexpected office needs
- Experience with legal software platforms, document management systems, or calendaring tools is beneficial
