Our client, a recently formed, growth-oriented CRO, is seeking a highly capable Executive Assistant to support its CEO. This is a dynamic, high-visibility role that blends high-level executive support & calendar management with team coordination and office operations, requiring exceptional attention to detail, organization, and proactivity.
About the Job:
- Provide comprehensive executive support, including complex calendaring, domestic and international travel, and document preparation
- Manage a highly dynamic, multi-layered calendar with shifting priorities and time-sensitive demands
- Coordinate complex domestic and international travel
- Serve as the point person for the leadership team
- Prepare meeting materials; take meeting minutes and follow up on action items
- Serve as a trusted liaison with internal teams, the Board, vendors, and external partners
- Manage daily office operations, including ordering supplies
- Communicate proactively to ensure seamless execution across all engagements
- Create, submit, and track expense reports
- Support special events and projects as needed
- Anticipate challenges and independently problem-solve, presenting thoughtful solutions and clear rationale
About You
- 7+ years of experience in an Executive Assistant, Chief of Staff, or C-level executive support role
- A strong sense of ownership, urgency, and pride in your work
- High emotional intelligence and the ability to work effectively with a direct, fast-moving executive
- Excellent written and verbal communication skills
- Strong organizational skills and the ability to manage competing priorities and pivot quickly
- A proactive, resourceful, solutions-oriented mindset
- Strong technical skills, including Outlook and Excel; interest in leveraging new tools/AI is a plus, as is experience with project management tools
- A bachelor’s degree is highly preferred for this role; equivalent professional experience also considered
- Experience in CRO, pharmaceutical, biotech, or healthcare industries is a plus!
This position will work on a hybrid basis, requiring an onsite presence 3 days a week in King of Prussia. Compensation is up to $100,000 annually, commiserate with experience.
