Job Title: Client Intake Coordinator
Classification: Non-Exempt
Location: 100% On-site (Dallas, TX)
Schedule: Monday – Friday, 8:30 AM – 5:30 PM
Compensation: $55,000 – $65,000 annually
Summary:
Beacon Hill Legal is seeking a Client Intake Coordinator to join a prominent firm in Dallas. The Client Intake Coordinator will play a critical role in managing the intake process for new clients and matters, ensuring compliance with conflict check procedures and firm policies. This position requires a proactive, organized, and detail-oriented individual who can work independently and communicate effectively with attorneys and internal teams. This opportunity is direct hire and full time.
Core Responsibilities:
- Conduct conflict checks and open new matters upon clearance
- Ensure all intake documentation (forms, engagement letters, retainers) is complete
- Follow up with attorneys and resolve potential conflicts, including ethical wall preparation
- Use internal systems and Coyote billing software for intake and billing support
- Collaborate with the Risk Management Committee and accounting team on special projects
Qualifications:
- High school diploma required; college degree preferred
- Minimum of 2 years in a legal assistant or conflicts role within a law firm required
- Strong organizational and follow-through abilities
- Excellent internal customer service and communication skills
- Ability to work under tight deadlines and manage multiple priorities
- Comfortable navigating sensitive or high-pressure situations
- Proficiency in Microsoft Office Suite and billing software; experience with Coyote is a plus
